๐๐ผ Event Objective.
Woodland end of year reflection celebration is an event where we open our doors to families during our operating hours, inviting the childrenโs families and the members of their community to celebrate, reflect on the year of learning, and strengthen the bonds that make our community truly special. This event is not just a celebration of the holiday season; it's an opportunity to come together, explore our learning environment, and witness the meaningful relationships we've built with all of your children.
During the celebration, families and children will engage in fun and educational games and activities, fostering a sense of togetherness and community spirit, along with having a learning journey display to showcase your childrenโs projects and achievements that have occurred throughout the year. This event will provide a platform to showcase the growth, curiosity, and creativity that have been fostered within the centre's nurturing environment.
Woodlands will provide finger foods and soft drinks, fostering a festive atmosphere for families to enjoy quality time together, get to know each other and build relationships and community connections.
๐ Event Date and Time
In December, towards the end of the year.
- Date: The exact date can be decided by the campuses.
- Time: During operation hours, exactly time can be decided by the campuses.
๐งโ๐งโ๐งโ๐ง Event Guest:
All current enrolled families and children. Invitation can be made through the BB Event Bookings link that is located on your Campus hubspot . The guide for setting up BB Event Bookings invitation can be found below:

Optional*: members from the community, such as incursions for sports, music performers etc. (No additional costs should occur with the optional guests.)
๐ป Event Decoration:
1. Common areas: the campuses can decide on the decoration style, focus on festive style.
2. Room setup: Each room can be set up to showcase childrenโs artworks and learning project journeys, along with festive decorations. There should also be set up with all the learning resources organised, and the learning areas to be set up in an inviting and engaging manner.
3. Grazing Table: Set up some finger food and soft drinks on a grazing table for families to have some snacks. If the weather is good, you can organise a picnic style.

โฐ Event Flow:
1A). Acknowledgment of Country Commence the event with a respectful acknowledgment of the traditional custodians of the land. โI would like to begin by acknowledging the Traditional Owners of the land on which we are all meeting today, the Wurundjeri, Woi-Wurrung people (change land if Wurundjeri land is not the land you are on) of the Kulin nation. I would also like to pay my respects to the Elders past and present and any people who identify as Aboriginal and Torres Strait Islander in the room today. At Woodlands we commit to learning the truth about the traditional land we are on and to respectfully teach our upcoming generations Australiaโs historyโ.
1B). Welcome the families: The leadership team can organise a suitable area and welcome the families, and tell the families to directly go into the room. Inform the families briefly on what we are going to do for the event, and invite them to enjoy some refreshments.
2. Mingle and enjoy the learning areas. The families can join together with all the children and educators in the outdoor space, if the weather is good, with some games set up by rooms of different age groups. This is a good opportunity to demonstrate to the families how we deliver age appropriate activities for the children.
3. Gift handout: One hour before the event finishes, the Lead teachers can hand out centre prepared gifts for children to all children going off to school. The gift details can be found in the appendix of the guide.
Optional*: one of the team members can dress up Santa, or invite one of the family members to be Santa for the gift handout.
4. Wish the families a happy holiday and finish the event. Inform the families the event is going to finish in 15 minutes, and thank the families for coming. One of the leadership team should be at the door to say goodby to the families.

$300 Budget, order from Woolworths.
Ensure you are aware of the dietary requirements and allergies of your service (children, families and educators), alter food selection to support that.
Set up a Grazing Table for the event with the following:
- Mini pizza
- Finger Sandwiches (assorted varieties)
- Mini Quiches (vegetable and cheese, might need baking, optional)
- Fruit Platter (strawberry, watermelon, rock melon)
- Vegetable Platter with Dip.
- Cheese and Cracker Platter
- Mini Cupcakes (assorted flavours) or cake.
- Mini Pastry, cold and warm (Ready to serve ones, such as croissants, pain and chocolate,danish, sausage rolls, party pies, spring rolls etc.)
- Juice Boxes for Kids
- Water Bottles for Adults
- Coffee/Tea Station
- Bottle Juice or cordial for Adults.
Note: Adjust the food quantities and selection based on the number of attendees and dietary preferences.
Note that some of the items will contain dairy, please adjust based on your guests and childrenโs dietary requirements to avoid any unexpected situations.
******** Childrenโs Christmas Gift ********
$20 per active child for the gifts. The gifts can be decided by the leadership team. Recommend to purchase from Kmart, BigW, or Amazon.
Books for each child attending your Woodlands Campus, ensure the books you are purchasing are age appropriate, and educational focused. Do not purchase character books like: Wiggles, Doria the explorer, Frozen, Spiderman etc.

$20.00 per Active Child Gifts- this is in total with the Kinder achievement event. Children only get 1 gift annually.
$300.00 for Food and Drinks
$150.00 for Decoration
$400 for any room/hall hire
